This policy applies to direct reservations managed by Gulf Coast Vacations.
A channel such as Airbnb, Vrbo, or Booking.com may apply its own cancellation and refund rules. Your booking confirmation and signed rental agreement identify the rules that apply to your reservation. A clearly stated booking-specific term takes priority over this general page.
How to cancel
The primary guest must submit the cancellation in writing to reservations@gulfcoastvacations.com. Include the booking reference, property name, arrival date, and a telephone number. A cancellation is effective when Gulf Coast Vacations receives and confirms the written request—not when a message is drafted or sent to another address.
When the booking is marked cancelled, pending automated Authorize.net charges are suspended. We never rely on an automatic card retry to decide whether a booking is cancelled.
Cancellations 30 days or more before arrival
Unless your booking-specific agreement says otherwise, a cancellation received 30 days or more before arrival is eligible for a refund of amounts paid, less the non-refundable booking fee, applicable card-processing fees that are not returned to us, and a $200 cancellation fee.
Cancellations within 29 days of arrival
Unless your booking-specific agreement says otherwise, a cancellation received 29 days or fewer before arrival is non-refundable. The total rental amount becomes due, and amounts already collected are forfeited, subject to any non-waivable rights and any written exception approved by Gulf Coast Vacations.
Optional services and non-refundable charges
Booking fees and any charge identified as non-refundable in your itemized quote or agreement remain non-refundable. Early check-in, late checkout, pet charges, and other optional services follow the same cancellation timing unless the confirmation states a different rule. If Gulf Coast Vacations cannot provide a separately paid optional service, we will refund that service charge.
Property unavailable or circumstances beyond control
If the booked accommodation is sold, damaged, or otherwise unavailable, we may offer reasonably comparable accommodation. If we cannot honor the reservation because of circumstances within the owner’s or manager’s responsibility, eligible advance payments will be refunded. Events outside reasonable control—including severe weather, hurricane, flood, fire, government restriction, utility failure, or similar force-majeure events—are handled under the booking agreement and applicable law.
We strongly recommend travel insurance that fits your circumstances. Gulf Coast Vacations is not responsible for an insurer’s coverage decision.
How approved refunds are returned
A card refund is returned to the original card through Authorize.net whenever possible. We do not send a card refund to a different card, bank account, or person. We normally submit an approved refund within 10 business days after the amount is finalized. Your bank or card issuer may take additional time—often 5 to 10 business days—to display the credit.
A payment that has not settled may be voided instead of refunded. A void releases the pending payment request, but the time required for the pending authorization to disappear is controlled by your card issuer.
Partial refunds and booking changes
If only part of a booking or service is eligible, we may issue a partial refund and keep the remaining booking balance and schedule accurate. Refunds never create a duplicate credit: each refund is tied to the original Authorize.net transaction and the booking’s financial record.
Questions, errors, and disputes
Contact us promptly if you believe a cancellation calculation or refund is wrong. We will review the booking agreement, payment history, and gateway record and provide a written response. Nothing in this policy removes rights that cannot lawfully be waived.
