This authorization explains how a card is securely retained for a later booking balance.
It applies when your secure payment page shows a deposit now and a scheduled balance later. The exact amounts and dates shown with your booking are part of this authorization.
What you authorize
By accepting the authorization and submitting the first payment, you authorize Gulf Coast Vacations to:
- charge the customer-initiated deposit or other amount shown on the secure payment page;
- ask Authorize.net to store a tokenized reference to that card for this booking; and
- charge the remaining booking balance on the date and for the amount shown in your payment schedule.
The scheduled balance is a merchant-initiated card-on-file transaction connected to your original payment authorization.
What Gulf Coast Vacations stores
Authorize.net—not Gulf Coast Vacations—stores the reusable card credentials. We retain the Authorize.net customer and payment-profile references, original network transaction reference where required, card brand, last four digits, transaction identifiers, response codes, your consent record, and audit information. We do not retain the complete card number, security code, or expiry date.
Advance reminder
We normally send a reminder seven days before the scheduled balance charge. The reminder states the amount, charge date, booking reference, and how to contact us. A shorter period may apply when a booking or approved change is made close to the balance date.
Booking changes and renewed permission
A date, property, guest, tax, fee, or optional-service change may alter the amount or timing. We may reduce the remaining balance without asking you to re-enter the card. We will not use the stored card for an increased amount beyond your recorded authorization without showing you the revised amount and obtaining renewed consent.
If a change makes a payment immediately due, the booking is placed into staff review rather than charged silently.
Declines and fraud review
If the scheduled charge is declined or held for review, we will not automatically retry it and will not automatically cancel the booking. We will contact you and offer a new secure payment link or another deliberate way to resolve the balance.
Withdrawing authorization
You may withdraw permission for future stored-card charges by emailing reservations@gulfcoastvacations.com before the scheduled charge is submitted. Include the booking reference and ask for written confirmation. Withdrawal does not cancel the reservation, erase an amount already due, reverse a completed payment, or change the cancellation policy. We may require another approved payment method to keep the booking in good standing.
How long the token is retained
We retain the tokenized reference only as long as reasonably needed to collect the authorized booking balance, administer refunds or disputes, keep required accounting and audit records, and meet legal obligations. You may ask us about deletion after the booking is complete, subject to those obligations.
Your consent record
We record the wording you accepted, amount, schedule, booking, time, consent source, and relevant security/audit details. If staff assists by telephone, the record identifies telephone authorization; card entry still occurs only in Authorize.net’s hosted form.
