These Booking and Payment Terms apply to direct reservations made with Gulf Coast Vacations.
They explain what you are paying, when payment is due, and how we securely process card payments. Your reservation confirmation, quote, rental agreement, and any property-specific terms form part of your booking contract. If a booking-specific term clearly differs from this general page, the booking-specific term shown to you before payment will apply.
Your booking price
Before you pay, we show the total price in U.S. dollars, including rent, applicable sales and lodging taxes, required booking or service fees, and any optional services you selected. Optional services may include early check-in, late checkout, or a per-pet charge where the property permits them. Your confirmation itemizes the charges that form your agreed total.
We do not add an optional service merely because it is available. A service is included only when selected, priced, and confirmed for your property and dates.
Deposit and scheduled balance
Our normal direct-booking schedule is a 50% deposit when the reservation is made, followed by the remaining 50% balance 30 days before arrival. Amounts are rounded to the nearest cent. Your exact deposit, remaining balance, due date, and reminder date are shown before payment and recorded with your booking.
If your reservation is made within 30 days of arrival, the full balance is normally due immediately. A property, promotion, channel, or individually approved booking may use a different schedule; any variation will be clearly shown before you authorize payment.
How card payment works
Card details are entered only in Authorize.net’s secure hosted form. Gulf Coast Vacations does not receive or store your complete card number, card security code, or expiry date. Authorize.net returns a tokenized payment reference, card brand, last four digits, transaction identifiers, and response information that we use to manage the booking and payment record.
The first payment is initiated by you. If your booking has a later balance, your authorization also permits Gulf Coast Vacations to use the tokenized card for the amount and date shown in your payment schedule, subject to the Stored-card and Scheduled-payment Authorization.
Reminders and scheduled charges
We normally send a reminder seven days before a scheduled balance charge. The reminder identifies the booking, amount, and planned charge date. Please tell us promptly if your contact information changes or if you need to discuss the payment before that date.
A declined or fraud-held payment is not automatically retried and does not automatically cancel your booking. We will mark the balance as needing attention and contact you with a secure way to try again or provide another approved payment method.
Changes to dates, price, or services
A change to your dates, property, party, taxes, or optional services may change the total and payment schedule. We will not silently increase a stored-card charge beyond the amount you authorized. If an increase requires a new or immediate charge, we will show the revised amount and obtain renewed authorization before collecting it.
If a valid change reduces the amount due, we will update the remaining schedule or process an approved refund as appropriate.
Externally managed bookings
Airbnb, Vrbo, Booking.com, and any other channel identified as externally managed use that channel’s own payment schedule and payment rules. Do not use a Gulf Coast Vacations payment link for an externally managed booking unless our team has expressly confirmed that it is correct.
Receipts and statement description
We send a receipt or confirmation after Authorize.net has authoritatively confirmed the transaction. A pending browser message alone is not final confirmation. The card statement description is normally GULF COAST VAC, or the substantially similar descriptor displayed on the secure payment page and receipt.
Cancellations, refunds, and disputes
Cancellations and refunds are governed by your booking-specific agreement and our Cancellation and Refund Policy. If you do not recognize a charge or believe an amount is wrong, contact us promptly so we can investigate before you begin a card dispute. Contacting us does not limit any rights available through your card issuer.
Contact us before paying
Do not continue if the property, dates, amount, or payment purpose looks wrong. Please contact Gulf Coast Vacations and ask for a fresh secure link.
